Prime-Minister's-Future-Jobs-forumThe Prime Minister’s Future Jobs Forum

The brief

The Department of the Prime Minister and Cabinet contracted us to work in house as an extension of its team to manage the 2011 Future Jobs Forum.

The Forum brought together government ministers, union leaders and corporation chief executive officers from around Australia, for a conference at Parliament House in Canberra. There was a live video link to Andrew Liveris, the chairman and chief executive officer of Dow Chemical Company in the United States.

Our work

We carried out the following work:

  • Undertook the design and printing of all conference collateral
  • Coordinated speakers, notes and presentations
  • Managed the venue, budget, catering, delegate registration as well as onsite setup, for example the audiovisual, conference room, forum secretariat and business centre
  • Managed the project plan and event budget
  • Organised travel for eligible speakers and delegates
  • Managed the media
  • Provided and managed scribes for all sessions.

Results

The Forum was a huge success and garnered very positive national media coverage. This success led to the Department of the Prime Minister and Cabinet contracting us to run a number of conferences.

One-Day-International-CricketOne-Day International Cricket

The brief

Earlybird Events helped create cricketing history in February 2013, when the first international cricket match was played in Canberra.

One-Day-International_01Part of Canberra’s Centenary celebrations, this game saw Australia take on the West Indies under new lights at Manuka Oval.

We managed the marketing, promotion, corporate hospitality, event styling and onsite Centenary brand activation activities.

Our work

Working with the ACT Government, our work included:

  • Marketing and PR
  • Corporate hospitality sales and management
  • Event styling
  • Sponsorship management – wine pourage rights
  • Onsite management and hosting of all corporate areas and official functions
  • Centenary of Canberra onsite activations

Results

Our strong public relations and marketing campaign saw tickets to the match sell out faster than expected, with most corporate hospitality packages selling out in record time. On match day, the game attracted a capacity crowd of 12 000. Meanwhile, guests at the official function were quick to compliment the excellent menu and room theming we had developed. In total, 1056 local and interstate hospitality guests enjoyed the locally sourced produce on the menu, as well as the big-name guest speakers and excellent wine selection from Tempus Two.

The brief

Burley Griffin included an arboretum in his original plan for Canberra. But it wasn’t until 2013 that the National Arboretum, which boasts 250 hectares of 94 different forests, was officially opened.

National-Arborerum-Grand-Opening_DawnWe were very pleased to be asked by the ACT Government to design and manage the Dawn Ceremony and Opening Festival for this new landmark.

Our work

Working with the ACT Government, we:
National-Arboretum-Grand-Opening

  • Planned a Dawn Ceremony for over 500 VIPs including senior ministers, diplomats and dignitaries
  • Designed and managed a comprehensive day-long Opening Festival for the general public that promoted the many elements of the Arboretum. Activities included musical entertainment, kite flying, walking and bus tours, terrarium classes and interactive art installations
  • Managed all onsite logistics including waste management, security and traffic management.

Results

The Dawn Ceremony received great feedback from the dignitaries who attended and the ACT Government was delighted with how this hugely symbolic event was run on the day. The Ceremony ran according to schedule and proved to be very moving, with the Indigenous smoking ceremony a particular highlight.

The following day saw a crowd of 15 000 enjoy a jam-packed program we had developed for the Opening Festival. Activities were designed to keep kids interested and busy, as well as get everyone to explore the forests, take in the views, be intrigued by the bonsai collection, as well as enjoy food specifically sourced from the Canberra region. The ACT Government was particularly pleased with the huge amount of positive publicity the event generated in the local media.

About us

We’re a little different at Earlybird Events. Not in a scary way, but in a good way, that our many repeat clients love.

The main difference is we have a small, highly experienced core team that works across an exciting portfolio of events.

From awards nights, gala balls and international conferences, to world championships and national music concerts, we’ve developed the branding and managed the back-of-house logistics. We’ve launched luxury consumer brands, major national institutions, run events for the Prime Minister, as well as everything in between!

We keep our team small – and overheads low – as we believe the secret to organising outstanding events is recruiting the specialists needed to deliver them. We know no two events are the same and that a one-size-fits-all approach rarely works … as well as lots of other clichés we’ve decided to leave out.

That’s why at Earlybird Events we tailor-make the team we need to meet our client’s brief. We are like a bespoke tailor crafting custom-made events. We know who to go to and for what, when particular creative skills are needed.

We love what we do, deal with our clients in an open and honest way, and offer end-to-end event management solutions.

If all this sounds like a good fit for you, then you sound like our sort of client and we’d love to hear about your next event.

What we do

At Earlybird Events we boast an experienced team of event management specialists.

From tailoring fresh new concepts to carrying out all the logistical details, we work with our clients to provide end-to-end event management.

Our diverse clients value us for the consistent professionalism we bring to their projects, our creative approach to branding events, as well as our resourcefulness – we get things done!

When we need to recruit specialist skills for projects, we go to a tested team of talented partners. Amongst others, these include production managers, graphic designers and writers. By sourcing the best talent when it’s needed, we tailor-make every event so it’s unique to our client, rather than tailoring the event to suit our staffing levels. This means the person you meet and brief, is the person who will be running the show.

Types of events we specialise in:

  • Product launches
  • Special events
  • Sporting and cultural events for public and private sectors
  • Conference management
  • Exhibitions and tradeshows
  • Gala dinners and charity balls
  • Awards nights
  • Community festivals.

Services we deliver:

  • Event creative direction
  • Logistics and operational management
  • Corporate hospitality sales and management
  • Styling and design
  • Marketing, publicity and media management
